About the Job

A Minneapolis-based film production company, is seeking a qualified candidate for a temporary ‘receptionist’ position through the end of September with the possibility of extension. This individual will strive to aide staff members with tasks to be completed, understand urgency, importance of detail, time management and must be comfortable taking direction for any given task.

RESPONSIBILITIES

• Answer all incoming calls on a multi-line phone system, direct inquiries to appropriate parties, record detailed messages for staff members and input caller information into company contact database
• Supervise front desk, serve as concierge to company guests and maintain a ‘tidy’ office environment
• Perform clerical and administrative duties such as filing, data entry, compiling research, making copies, sending faxes, etc.
• Address overall office needs and maintenance
• Oversee all incoming/outgoing mail and shipments, including upkeep of detailed shipping log
• Facilitate office IT needs
• Assist with travel and accommodations for staff, crew members and cast as needed
• Support Executive Assistant with managing staff calendar including coordination of staff meetings, conference calls, travel arrangements, reminders, etc.
• Help supervise interns and their schedules
• Assist with assembly of marketing and festival materials
• Maintain office manual, equipment information and other office inventories
• Troubleshoot administrative needs with research and strategic implementation

REQUIREMENTS

• Clerical, administrative and/or coordinating experience
• Knowledgeable with Apple computer and office IT systems
• Available to work from 9:00-5:00pm, M-F
