About the Job
We are seeking a high-energy Administrative Assistant to support the GM, handling a wide variety of administrative projects and activities.
Specific Duties:
• Maintain schedule for GM
• Processes monthly expense reports for GM and GM’s direct reports
• Arrange meetings and conferences as needed
• Prepares travel itineraries, including flight, hotel reservations, and ground transportation as needed, often for large groups.
• Assists in preparation of reports, confidential documents and correspondence as requested
• Receive and screen communications to GM including telephone calls and e-mails
• Assesses priorities and needs of mail, call-ins and in-person visits, as well as GM’s visits to departments, to maximize time management and balance of station needs; acts as liaison with station personnel/program distributors (syndicators) and others seeking, access, meeting, and/or information from the GM.
• Plan, organize, implement and manage special events and/or projects as needed; holiday activities, VIP visits, etc.
• Oversee viewer mail, e-mail, researching, and writing correspondence; uses diplomacy and sensitivity when handling complaints from angry callers; accountable for answering administration trunk line and ascertaining where the call belongs and answering all questions to the general administration department. Books additional security for station offsite events/billing for same.
• Provide follow-up to projects to staff assigned by GM
• Ability to serve as one of the relief Receptionists as needed
• Perform other tasks and duties as assigned and/or needed
Qualifications:
• 2+ years experience Administrative Assistant
• College degree preferred
• Strong organizational skill
• Excellent written and communication skills
• Demonstrates ability to prioritize projects and multi-task
• Ability to keep sensitive information confidential
• Schedule management experience preferred
• Proficient in Microsoft Office, including Word, Excel, and Outlook
• Ability to use general office machinery, including multi-line telephone system, copier, fax, 10-key
• Ability to listen, focus, take direction, and work in high-pressure situations effectively and calmly
• Able to learn new software applications quickly and thoroughly as acquired by the company
• Ability to operate a motor vehicle legally with a clean driving record.
