This position will be responsible for the administration, coordination, physical appearance and maintaining a professional and positive work environment in the New York Office.
ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES:
Office Management
•Supervise Front Office for coverage during regular business hours and other general office functions to ensure a professional operation.
•New employee orientation, office set-up
•Develop and implement Standard Operating Practices (SOP) to ensure streamlined procedures
•Responsible for petty cash
•Review monthly vendor invoices and process for payment
•Establish and maintain accounts with vendors
•Assist in preparation of yearly operating and capital budget for NY Office
•Prepare monthly budget variance report including other accounting analysis reports as requested
•Miscellaneous office projects and requests
Facility Management
•Responsible for ordering office supplies and distribution to appropriate departments, executive beverage supplies, coordinating catering services for office events and janitorial supplies as needed within budget parameters
•Prepare and schedule conference rooms including set-up and maintenance of conference rooms; including AV technical support for multimedia equipment.
•Responsible for coordinating and working with building security
•Supervise and coordinate all office moves and facility modifications
•Responsible for the coordination of all mailroom functions (sorting & delivering of mail internally, federal express, postage, etc.)
EDUCATION/EXPERIENCE REQUIRED:
•Minimum 5 years experience in office management with supervisory responsibilities
•Bachelor’s degree in Business or demonstrated equivalent work experience
•Excellent communication skills both verbal and written
•Ability to communicate with all level of personnel from senior management to office staff.
•Must be computer literate and proficient with Microsoft Office Suite
•Knowledge of other computer software a plus
•Ability to Multi-task and set priorities |
