We are is accepting resumes for our new staff member, OFFICE MANAGER. We are seeking a dedicated, hard working, self-sufficient individual who enjoys a challenge and has an appreciation for independent film. This position will report directly to the Executive Administrator, and strive to aide all staff members with the many tasks to be completed.
The Executive Administrator reports directly to the CEO and President, maintaining all company accounts, human resources, and providing hands on assistance in each stage of a films life cycle. Therefore, it is important that our Office Manager understand urgency, importance of detail, time management, and is comfortable taking both direction and full responsibility for any given task.
DUTIES: - Manage overall office needs and maintenance - Supervise front desk, accommodate guests, and maintain a tidy office environment - Answer all incoming calls on a multi-line phone system, direct inquiries to appropriate parties, record detailed messages for staff members, and input caller information into database - Perform clerical and administrative duties such as filing, data entry, compile research spreadsheets, copies, faxes, etc. - Oversee all incoming/outgoing mail and shipments, including upkeep of detailed shipping log - Supervise IT office needs and concerns in collaboration with outsourced IT management company - Coordinate travel and accommodations for staff, crew members, and cast as needed - Manage staff calendar including coordination of staff meetings, conference calls, travel arrangements, etc. - Supervise interns; delegate tasks and manage their schedules
REQUIREMENTS: - Superb work ethic and drive for efficiency - Superior organizational, time management, and decision-making skills - Ability to work independently, as well as, take direction - Experience in Microsoft Office with above average typing and writing skills - A positive personality, and professional demeanor - Flexible, willingness to learn new things, and ability to troubleshoot - Comfort with Macintosh computers and software - Strong communication skills
PREFERENCES: - Bachelor of Arts or equivalent, but not required - Clerical, administrative, and/or coordinating experience - Technically savvy and knowledgeable with computer systems.
